Tutorials - PowerPoint Presentations for Beginners

Presenting Your Presentation
Once you have your slide show completed, you can present it in a number ways such as a manual or self-running electronic slide show, a web document, overhead transparencies, 35mm slides and even handouts.

Manual Electronic Slide Show

Once your presentation is complete you can play it on a computer that is connected to a video projector. Several of the classrooms now have these projectors. Both libraries also have video projector/laptop systems on carts that you can check out.

What you need:

  • A computer that has PowerPoint installed, or at least the PowerPoint Player (see Pack 'N Go below)
  • A video projector connected to the laptop.
  • Speakers connected to the laptop. (optional) This is only needed if you are using sound files with your presentation
  1. Turn on your laptop and projector.
  2. Open your presentation in PowerPoint and press the Slide Show button
  3. Using the left mouse button, navigate through your slide presentation.

Self-Running Electronic Slide Show

You can set timing controls on your presentation that allow you to just leave it running on it's own. This is useful for Kiosk type settings.

To set up up timings:

  1. At the menubar click on Slide Show, then put your mouse over the double arrows under Custom Shows. This will expand your options.
  2. Click Rehearse Timings to start the show in rehearsal mode.
  3. Click the advance button when you're ready to go to the next slide.
  4. When you reach the end of the slide show, click Yes to accept the timings or No to try again.

To make it self-running:

  1. At the menubar click on Slide Show, then Setup Show.
  2. Where it says Show Type, click Browsed at a Kiosk.
  3. Where it says Advance Slides, click Using Timings if Present.
  4. Click OK.
  5. At the menubar click on Slide Show, then View Show. It will now play your show using your timings for each slide. After it is finished, it will loop back and play again continuously.

Overhead Transparencies

You can make color or black and white transparencies of each slide. This works great if you do not have access to a computer and video projector, or if you just want to have these as a backup.

Click on the slide you want to print, then go to File > Print.

Where it says Print what, choose Slides. If you want to print in black and white, click the Grayscale box, otherwise leave it blank.

Where it says Print range, you can choose Current slide if you just want to print the one slide, or All if you want to print everything.

Put a color inkjet transparency sheet in the inkjet printer and Print.

  • You can get the transparency sheets from the Bookstore. Be sure to ask for the sheets used for Color InkJets.
  • You can feed individual sheets into the Ink Jet printers. For most of these printers you need to have the frosty side of the transparency being face up.
*note- You can test this before hand with a piece of regular paper, just write frosty on one side of the paper and print it to see if this is correct.
35mm Slides

You can have quality 35mm slides made from each slide. Just save your file on disk and take it to your nearest photo service bureau, such as Robis Camera in Lakewood, and the Camera Shop in Puyallup.

Handouts
You can print handouts of 1 image per page up to 6 images per page. To see how to do this click HERE.
Web Document

You can convert your presentation into a Web document that can be put onto the Internet.

At the menubar click on File > Save as Web Page

Name the file, choose where you would like to save it and click Save.

This converts your presentation to an HTML file which can then be uploaded onto a Web server.

*note- You need to set up an account with the Pierce College Web Manager through College Relations to get access to the Web Server.

Pack 'N Go

You may want to present your presentation on a computer that does not have PowerPoint software. You can use the Pack N Go feature which saves your presentation with a PowerPoint Player, so you can play it on any computer.

At your menubar click on File > Pack and Go..

The Pack and Go Wizard dialog box will come up. Just follow their instructions.

*Note - When you get to the Viewer section, be sure to click on the Viewer for Windows 95 or NT option

This will prompt you to save it to a floppy or zip drive. Once you have saved it, you can install it on another computer by doing the following:

  1. Open your floppy or zip disk in the other computer
  2. Now open up the C drive on that computer and create a new folder called My PowerPoint, or whatever you want to call it.
    • You do this by right clicking in the C drive and choose New > Folder
  3. Double click on the file that says pngsetup
  4. For Destination Folder, type C:\My PowerPoint (or the name you gave it)
  5. Now go to your My PowerPoint folder on the C drive and open it up.
  6. Double click on the file that says Ppview32
  7. It will open up this box (see below). Click on your file (In this case I called it "My Powerpoint", then click Show
