The 5 Things You Must Know...The View buttons
The 5 view buttons are the power behind PowerPoint. They are located in the bottom right of your screen and allow you to see the same information in 5 different and useful ways.

Normal View - Outline View - Slide View - Slide Sorter View - Slide Show

Normal View

Click the Normal View button, located in the lower left corner of your screen.

This view gives you options to enter information as an outline or on an individual slide. It also allows you to input personal notes for each slide.

Click in this area (the white box) to input information in an outline form. Everytime you press Enter on your keyboard, it will create a new slide.

  • If you press the Tab key on your keyboard it will allow you to type bulleted information on the same slide.
  • You can then press Shift/Tab to go back to a new slide.

Click on the text box to add your own text. When you want to create a new slide go to Insert > New Slide on your menubar.

You can click in this box to add personal notes that go along with each slide. You can then print these out. (See "Print Your Notes & Handouts")

Outline View

Click the Outline View button, located in the lower left corner of your screen.

This view gives you options to enter information in an outline form. You will also be able to see a small thumbnail of what it will look like on an individual slide. You can also write personal notes for each slide.

This view is very similar to the Normal view, it just gives you more room for typing in outline form.

  • If you press the Tab key on your keyboard it will allow you to type bulleted information on the same slide.
  • You can then press Shift/Tab to go back to a new slide.

Slide View

By clicking the Slide View button you can work with each slide individually. You can add new slides by clicking on the menubar at Insert > New Slide.

  • When you add slides, a vertical scrollbar appears on the right side of the screen. This will allow you to scroll between slides.
  • This view is the easiest to use when adding photos or clipart.

Slide Sorter View

The Slide Sorter View allows you to see thumbnails of your slides, similar to putting slides up on a light table.

This view is handy for:

  • Seeing several slides all at once.
  • Rearranging the order of the slide
    • Drag the slides in front or behind other slides.
  • Setting the slide transition effects.
    • Click on the box that says "No Transition" and choose a transition.
    • Test it by clicking on the "Slide Show" button and click your mouse to navigate.
  • Setting the text animation effects.
    • Click on the box that says "No Effect" and choose a text effect.
    • Test it by clicking on the "Slide Show" button and click your mouse to navigate.

Slide Show

The Slide Show button allows you to see your slides full screen in a slide presentation.

In this view you can:

  • Use the mouse button as a remote. Just click the left mouse button to go forward.
  • Press the "N" key for Next Slide, and the "P" key for Previous Slide.
  • Move your mouse cursor to the semi-transparent arrow in the left corner of the screen. Click on the arrow and choose Next, Previous, or other options.
  • Press the ESC key on your keyboard at anytime to get out of the slide show view.
